SmartDocumentScanner ("we", "us", or "our") respects your privacy. This Privacy Policy explains how we collect, use, store, and protect your information when you use our Android application and website.

Our core principle is simple: your scanned documents and PDFs never leave your device. We do not upload, store, or process your document images on our servers.

2. Information We Collect

We collect minimal data necessary to operate the app and provide optional cloud-synced subscriptions.

2.1 Account Information (Optional)

  • When you sign in with Google, we receive your display name, email address, profile photo URL, and a unique Firebase user ID.
  • Sign-in is entirely optional and only required if you choose to subscribe to Premium.

2.2 Subscription Metadata

  • If you purchase a Premium subscription, we store your subscription status (premium: true/false), product ID, purchase token, and last-updated timestamp in Firebase Firestore under your user ID.
  • This lets your Premium status sync across devices when you sign in with the same Google account.

2.3 Documents & Images

  • All scanned images and generated PDFs are stored locally on your Android device in private app storage.
  • We do not upload, transmit, or back up your documents to any server. Documents never leave your device unless you explicitly share them using your phone's built-in share sheet.

2.4 Usage & Analytics Data

  • We use Firebase Analytics to collect anonymous usage statistics (e.g., screen views, feature usage, app crashes) to improve the app.
  • This data is aggregated and does not identify you personally.

2.5 Advertising Data

  • The free version displays ads via Google AdMob. AdMob may collect your device's advertising identifier and general device information to serve personalized or non-personalized ads.
  • Upgrading to Premium removes all ads and stops ad-related data collection.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • To provide core app functionality (scanning, PDF creation, image enhancement) – all processed locally on your device.
  • To authenticate you and sync your Premium subscription across devices.
  • To process payments via Google Play Billing.
  • To show ads in the free version via Google AdMob.
  • To analyse anonymous usage patterns and fix bugs via Firebase Analytics.
  • To respond to your support requests when you contact us.

4. Data Sharing & Third Parties

We do not sell, rent, or trade your personal information. We only share data with the following third-party services necessary to operate the app:

  • Google Firebase (Auth, Firestore, Analytics) – for authentication, subscription sync, and anonymous analytics.
  • Google Play Billing – for processing subscription payments.
  • Google AdMob – for displaying advertisements in the free version.
  • Google ML Kit – for on-device document scanning and edge detection. ML Kit processes images locally on your device; no images are sent to Google servers.

5. Data Storage & Security

Documents: All scanned images and generated PDFs are stored in your device's private app storage (Android/data/com.smartdocscanner.app/). They are inaccessible to other apps unless you explicitly share them.

Cloud Data: Your account and subscription metadata is stored in Firebase Firestore with industry-standard security rules that restrict access to your authenticated user ID only.

We implement reasonable technical and organisational measures to protect your data. However, no method of electronic storage is 100% secure.

6. Data Retention

Documents: Your scanned images and PDFs remain on your device until you delete them within the app or uninstall the app.

Account Data: If you delete your account or uninstall the app, your Firebase Auth record and Firestore subscription data remain until you request deletion by contacting support@smartdocumentscanner.com.

Analytics Data: Anonymous analytics data is retained by Firebase Analytics per Google's standard retention policies.

7. Your Rights (GDPR & Global Privacy Rights)

Depending on your location, you may have the following rights regarding your personal data:

  • Right to Access – Request a copy of the personal data we hold about you.
  • Right to Rectification – Request correction of inaccurate data.
  • Right to Erasure – Request deletion of your account and associated data.
  • Right to Restrict Processing – Request that we limit how we use your data.
  • Right to Data Portability – Receive your data in a structured, machine-readable format.
  • Right to Object – Object to processing for direct marketing or legitimate interests.

8. Children's Privacy

SmartDocumentScanner is not intended for children under the age of 13 (or the minimum age of digital consent in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us with personal data, please contact us immediately.

9. Cookies & Website Tracking

Our website (smartdocumentscanner.com) does not use cookies or tracking pixels. We do not use Google Analytics or similar trackers on our landing page.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the updated policy on this page with a new effective date. Your continued use of the app after changes constitutes acceptance of the revised policy.
